We only collect personal information that you choose to share with us — your name, email address, and phone number if you contact us, plus whatever details you include in the body of your message. We use that information for one purpose: to write back to you. We do not sell it, lend it, license it, or share it with marketing partners or advertising networks. We store it on the same servers that run this site, kept reasonably long enough to follow up on your inquiry — usually six to twelve months, sometimes longer for orders or projects with open warranty. You may request a copy of everything we hold, ask us to correct mistakes, or have it deleted entirely. Just send a note and we will act on it within thirty days. If you feel we have not handled your data properly, you have the right to lodge a complaint with your local data protection authority.
We are in the packing room Tuesday through Saturday, and email is the reliable way to reach us. Orders need a name, a delivery address, and contact details. Card payment is processed by our provider — full numbers never reach us.
A gift order means we hold a recipient's address as well as yours. We use it once, to send the parcel, and delete it after delivery unless you tell us it is a repeat address worth keeping.
Much of what we stock comes from small workshops. Wholesale terms are confidential to each maker. We are happy to tell customers who made something and where, and we do that on every product page.
This site does not carry retargeting or advertising trackers. We look at aggregate page counts to decide what to restock.
Order records follow the statutory bookkeeping period. Recipient addresses are deleted after delivery. Email hello@oakvaultline.com about anything we hold.
Orders are adult transactions and we hold no records on under-fifteens.
Oak Vault Line, 〒604-8812 Kyoto, Kyoto City, Nakagyo Ward, Mibu Aiaicho, 22-2. Telephone +81 75-841-8175, email hello@oakvaultline.com. One person is responsible for how information is handled here, and that person answers this address.
If a piece arrived damaged or a maker's description did not match what you received, send a photo and we will sort it. Otherwise write to the address above and you will get a reply within two weeks. You may also raise a matter with the Personal Information Protection Commission of Japan.
When the makers we carry or the way we ship changes, this page is updated and dated. We do not edit it silently. Last revised 27 July 2026.
A few customers keep a standing list with us of what they already own, so that gifts do not duplicate. That list exists only because they asked for it and is deleted on request.
We do not run a public registry and we will not confirm to a third party what someone has bought.
Email us and we will send back what we hold, change it, or delete it. No form, no fee, and no request for a reason.
We aim to answer within two weeks. Where an order record is subject to a statutory retention period we will say so rather than quietly keeping it.
If the request arrives from an address not on the order, we will ask one question to confirm it is you before acting.
Orders live with our shop platform and payment provider, each governed by their own terms. On our side the packing room has access and nobody else does.
There is no marketing platform holding a copy of the customer list, because there is no marketing platform.
